The Facility (comprises)

• The Church Hall

• The Foyer (including the Kitchen for serving but not preparing food)
• The small Office Area (Office/Waiting Room and Toilets)
• The Toilets (including a toilet for the disabled)
Approval Process
Requests for the hire/use of the Church Facility are to be forwarded to the Chair of the Westbury Baptist Family Church Venue Hire Committee. The Committee for 2026 consists of John Glasby (Chair), Pat Poulton and Grace Bye.
- A Booking Information proforma will need to be completed (including the hire fee). This will be considered by the Venue Hire Committee and provided to the Church Leadership for approval. There may be situations where the Venue Hire Committee may make the decision if the matter is urgent/not contentious.
- If approved, the Hire Agreement proforma is to be completed (including the provision of a copy of Certificate of Currency for Public Liability held by the organisation, where applicable).
- If a charge is to paid, then an upfront deposit is required that covers 50% of the hire charges. There may be occasions/extenuating circumstances where this deposit may be waived.
- If the Church is to cater for the function, then an up-front deposit of 60% is to be provided. In the case of funerals, the deposit will be based on an agreed process for estimating the likely numbers attending.
A Tiered Approach to Hire Costs
The cost of hiring the Westbury Church Facility adopts a tiered approach based on the following considerations (a list of charges is provided below)
• Any use of the Church facility incurs a cost to the membership and the Church budget. As far as possible and where practical, basic costs such as cleaning, the cost of electricity and wear and tear should be covered.
• The Church facilities can be made available for the ‘approved’ use of Church members at very reduced or no cost. Approval will be determined by the Church Leadership and is dependent on the nature of the use. Use that is purely commercial will attract a higher fee.
• Commercial use by organisations/groups not resident in Westbury attract the full hire fee. Consideration may be given for ongoing and regular use of the Church facility.
• Local community use by residents/community organisations residing in Westbury and the surrounding areas will incur a charge that covers reasonable Church costs for the use of electricity etc.
• Consideration will be given for demonstrated hardship/community value and this matter will be considered by the Westbury Baptist Church Venue Hire Committee and approved by the Church Leadership, on a case-by-case basis.
• The Kitchen can be used to serve food and beverages but not to prepare/cook food.
• Hire charges should be reviewed on an annual basis and approved by the Leadership Group in February each year.
Catering Service Provided by the Westbury Baptist Church
In general, the Westbury Church will not cater for any organisation/person hiring the church facility. If required, local businesses will need to be approached, and food served (not prepared) from the kitchen.
In general, the Westbury Baptist Family Church will only cater for the needs of members/regular attenders (funerals/special events), dependent on the availability of Church members to cater, someone to take responsibility for organising the catering and approval by the Church Leadership.

If an organisation/group intend to use the church facility on an ongoing basis, then the Church Leadership Group will be prepared to consider a reduction in the hire charges.
